The Entry Card module in Flovix is used to create and manage repair entries for vehicles. It allows users to record important details related to a repair request, including repair details, vehicle information, customer notes, and damage assessment. This module helps workshops and service centers maintain accurate repair records and track vehicle service activities efficiently.

 

At the top of the screen, users can access system options such as notifications, help, apps, and language settings. The Entry Card screen is divided into four main sections, making the repair entry process organized and easy to manage.

 

The available sections are:

 

Repair Details

Vehicle Information

Customer Notes & Attachments

Damage Assessment

 

Users can also use the Search option to find existing repair entries or open the Repair List to view all repair records. To create a new repair entry, users can click the New Repair button.

 

Step-by-Step Guide to Create an Entry Card

 

Step 1: Open the Entry Card Module

Go to the Entry Card section in Flovix. The screen will display options such as Search, Repair List, and New Repair.

Click New Repair to start creating a new repair entry.

 

Step 2: Enter Repair Details

In the Repair Details section, enter the basic information about the repair.

Required fields include:

Title – Enter the repair title.

Customer – Select the customer from the list.

Card No – The system generates a card number automatically (Example: SO-20260304133758).

Delivery Date – Select the expected delivery date and time.

Entry Time – Displays the time when the entry is created.

Entry Date – Displays the date of the repair entry.

This section records the main repair information for the system.

 

Step 3: Add Vehicle Information

Open the Vehicle Information section and enter the vehicle details related to the repair.

Fields include:

Vehicle – Select the vehicle from the list.

Make / Year – Enter the vehicle manufacturing year.

Plate # – Enter the vehicle plate number.

VIN – Enter the Vehicle Identification Number.

Model – Enter the vehicle model.

Mileage (Kilometer) – Enter the vehicle’s current mileage.

Remaining KM / Days – Enter remaining service interval if applicable.

Repair Code – Select the repair code from the dropdown list.

Workshop Code – Enter the workshop reference code.

Style – Enter the vehicle style if required.

This section ensures accurate vehicle information is recorded for the repair.

 

Step 4: Add Customer Notes and Attachments

In the Customer Notes & Attachments section, users can record special instructions or additional information from the customer.

Options available:

Customer Note – Write notes about the repair request or customer instructions.

Attachment – Upload files or documents related to the repair.

This helps keep all customer-related information stored with the repair record.

 

Step 5: Record Damage Assessment

The Damage Assessment section allows users to record any visible damage to the vehicle.

Users can mark or highlight damaged areas using the available options. This helps technicians identify issues and document vehicle condition before starting repairs.

 

Step 6: Save the Repair Entry

After completing all required fields, users can choose from the following options:

Save – Save the repair entry.

Save & New – Save the current entry and create another repair record.

Save & Print – Save the entry and print the repair card.

Save and Close – Save the entry and return to the previous screen.

Cancel – Cancel the entry without saving.
